How to Choose a HubSpot Managed Services Partner

Every agency that sells HubSpot retainers says the same things. Proactive. Strategic. An extension of your team. None of that helps you choose, because none of it can be checked.

What can be checked is how they handle the dull parts: who touches your portal, how hours are counted, what lands in your inbox at the end of the month, and what happens when you want out. This post covers those, with the questions to ask and what a good answer sounds like.

Decide What You’re Buying First

A retainer is for a portal that already works and needs someone looking after it month to month. If you want the full picture of what that work involves, we broke it down in what a HubSpot managed services agency actually does.

Two cases where a retainer is the wrong first step. If HubSpot isn’t set up yet, you need an implementation, not upkeep. If it’s set up but badly, start with a HubSpot audit: fixed scope, and a written list of what’s broken. Then any partner can quote against that list instead of against a guess.

Six Things to Check Before You Sign

None of these need technical knowledge. They’re questions about accountability.

1. Who actually does the work

Ask who will be in your portal, by name. A good answer is a small team you can meet, with one person accountable for your account. A weak one is “our team,” a ticket queue, or work passed to freelancers you never hear about. You’re handing someone admin access to your pipeline. You should know whose hands are on it.

2. How hours and scope are defined

Retainers are sold three ways: a fixed block of hours, hourly billing, or “unlimited” requests. Fixed hours are the easiest to budget, which is how our own Managed Services tiers work. “Unlimited” usually means a queue, and your request waits its turn.

Whatever the model, get three answers in writing: what happens to hours you don’t use, what an extra hour costs, and what counts as in scope. Vague answers here turn into invoice arguments by month four.

3. What you see every month

This one matters most if you own the business and not the portal. At the end of each month you should get a report: hours used, tasks completed, what’s still open, and what they recommend next. In writing, not “we’ll keep you posted.” If you can’t tell what you paid for, you can’t tell whether it was worth it.

4. Who owns the documentation and the access

Every change they make should be written down somewhere you can read it: what was built, why, and where. Admin access stays yours. Then ask what you’d have in hand if you left tomorrow. If the answer is “we’d set up a handover call,” the knowledge lives in their heads, not in your portal.

5. What leaving looks like

Ask about the minimum term and the notice period. A few months of minimum is reasonable, since it takes time to learn a portal and show results. Long lock-ins, renewals nobody mentioned, or fees to hand over your own documentation are not. You want a partner who’s comfortable being re-evaluated.

6. Whether they’ll tell you to buy less

Ask it straight: what would make you tell me I don’t need this? A partner paid by the month has every reason to put you on the biggest plan. The good ones will say when your usage doesn’t justify the tier, or when a one-off project would do the job. If every scenario you describe ends in a retainer, you’re hearing a sales pitch.

Ask to See a Real Monthly Report

The easiest test is also the most revealing. On the first call, ask them to walk you through an anonymized monthly report from a client with a similar setup.

Look at how they describe the work, whether the hours match the tasks, and whether the recommendations are specific. “Optimized workflows” tells you nothing. “Rebuilt deal routing after the new hire’s deals stopped getting assigned” tells you someone was paying attention. If they can’t show you one, that’s your answer.
